How do I reconcile the fees charged by OneAdvanced or by the Agencies we submit to?
Registration fees/submission fees charged by the recipient
Some forms attract a fee on submission to a particular gateway. For Companies House forms, on creating the form, the detail about the fee is shown in the narrative at the top of the page. You can see a list of their fees here. Land Registry application fees vary depending on the value of the transaction.
OneAdvanced fees
Most customers pay transactional fees monthly in arrears via direct debit. OneAdvanced will send you an invoice after the end of the month for each submission successfully completed within the month. For example, the invoice you receive in early May will cover all submissions completed in April.
The invoice will state the number of submissions made and the unit rate.
You can ask to have the oneAdvanced fees included in your reconciliation report. Your Legal Forms administrator can log a request in the Customer Community portal
Reconciliation report in Legal Forms
Legal Forms is designed for your finance team as well as for form submitters; at any point you can access a live report within Legal Forms from the Reports menu.
The detailed Reconciliation report is available as a csv file (usually opened in MS Excel). This can be downloaded at any time, and is a live report – as soon as a form is accepted by the agency it appears on the report. It defaults to the current month but you can change the date range for a maximum of one year.
Once you open the report in MS Excel, you can filter by month to see the detail of which forms are included in your oneAdvanced invoice.
The report provides the following detail, designed to support easy reconciliation of disbursements at a frequency that best aligns with your processes.

To view the report screen, go to cloudforms.oneadvanced.com and view the Reports tab.
If you need additional user accounts for finance team members, add a user to Legal Forms and do not give them any of the optional permissions, they will be able to see the Reports tab. Unless you add other permissions, this will be a user who cannot create, view or submit forms, but can access the Reports screen.
Email Reminders
You can have one email address set to receive a notification of the fee reconciliation report once a month. This email address does not have to be a user, so for example you can use a finance team group address. This is configured in Settings by your Administrator.
